Job Summary

The Administrative Officer is responsible for overseeing the daily operations of the office, ensuring efficient and smooth administrative functions. This role involves managing office supplies, coordinating meetings and travel arrangements, maintaining records, and providing support to senior management and staff. The Administrative Officer also assists with human resources tasks and plays a key role in facilitating effective communication within the organization. Strong organizational, and communication skills are essential for this position.

About the Role

  • Oversee the day-to-day operations of the office.

  • Ensure the office is well-maintained, organized, and equipped with necessary supplies.

  • Manage office budgets and ensure cost-effectiveness.

  • Provide administrative support to senior management and other staff members.

  • Schedule and coordinate meetings, appointments, and travel arrangements.

  • Prepare and distribute correspondence, reports, and presentations.

  • Maintain accurate and up-to-date records, including employee files, financial documents, and other important information.

  • Ensure confidentiality and security of sensitive information.

  • Serve as the point of contact for internal and external communications.

  • Handle incoming and outgoing mail, emails, and phone calls.

  • Facilitate effective communication within the organization.

  • Assist in planning and coordinating company events, projects, and initiatives.

  • Monitor project timelines and ensure deadlines are met.

  • Collaborate with different departments to ensure smooth project execution.

Qualification and Experience

  • Bachelor’s degree in business administration, Management, or a related field.

  • Additional certifications in office administration or management are a plus.

  • Minimum of 2 years of experience in an administrative role.

Functional Skills Requirement

  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).

  • Experience with office management software and tools.

  • Ability to quickly learn and adapt to new technologies and systems.

  • Strong organizational and multitasking skills.

  • Excellent written and verbal communication skills.

  • Ability to work independently and as part of a team.

  • Attention to detail and problem-solving skills.
